Boatwork Assist Zoom scheduling app

Boatwork Assist uses Zoom only for supervisor-owned meeting scheduling. A supervisor authorizes Boatwork with their own Zoom account, and the agent can then create Zoom meeting links for approved scheduling work. Meeting capture, transcripts, and recordings are handled separately by Boatwork’s meeting-notes system.

The Zoom app is not a tenant-wide admin connector. Each authorization is tied to one agent and one assigned supervisor. The authorized Zoom email must match that supervisor’s email before Boatwork stores the connection.

Before you add the app

  • You need an active Boatwork Assist account at ai.boatwork.co.
  • The agent must have a supervisor assigned in Boatwork.
  • The Zoom account you authorize must use the same email address as the assigned supervisor.
  • Your Boatwork user must have permission to edit the organization or agent integration settings.

Add the Zoom app

  1. Sign in to Boatwork Assist.
  2. Open the agent that should schedule Zoom meetings for its supervisor.
  3. Go to the agent’s Integrations page.
  4. Open Zoom scheduling.
  5. Select Connect Zoom.
  6. Zoom will open its authorization screen. Sign in with the supervisor’s Zoom account.
  7. Review the requested permissions and approve the Boatwork Assist Zoom app.
  8. Zoom returns you to Boatwork. Boatwork verifies the authorized Zoom email and shows the connection as active.

If the Zoom email does not match the agent’s assigned supervisor, Boatwork rejects the connection and asks you to reconnect with the correct Zoom account.

Use the Zoom app

After Zoom is connected, the agent can use the supervisor’s Zoom account during approved scheduling workflows. For example, when the supervisor asks the agent to schedule a service visit or customer call, Boatwork can create a scheduled Zoom meeting and place the Zoom join link into the Google Calendar or Microsoft 365 calendar invite.

The agent does not receive the supervisor’s Zoom refresh token. The token stays encrypted on Boatwork servers. When the agent needs a Zoom meeting link, it calls a Boatwork API using the agent’s own credential, and Boatwork mints a short-lived Zoom access token server-side.

Data Boatwork reads or stores

  • Zoom user profile details needed to verify the authorized account, including user ID, email address, and account ID when Zoom returns it.
  • OAuth access and refresh tokens needed to create Zoom meetings for the connected supervisor account.
  • Meeting details returned by Zoom for meetings Boatwork creates, such as meeting ID, join URL, password when present, start time, duration, timezone, and host email.

Remove the Zoom app from Boatwork

  1. Sign in to Boatwork Assist.
  2. Open the agent connected to Zoom scheduling.
  3. Go to Integrations, then Zoom scheduling.
  4. Select Disconnect Zoom.
  5. Confirm the disconnect action.

Disconnecting removes the stored Zoom connection for that agent and marks Zoom scheduling as disconnected. Boatwork also makes a best-effort request to revoke the Zoom token.

Remove the app from Zoom

  1. Sign in to your Zoom account.
  2. Open Zoom App Marketplace.
  3. Go to Manage, then Added Apps.
  4. Find Boatwork Assist.
  5. Select Remove and confirm.

Removing the app in Zoom revokes Boatwork’s access from Zoom. If the app is removed in Zoom first, Boatwork may show the connection as needing reconnection the next time scheduling tries to use Zoom.
